How to reconcile Meesho payments, order by order

Matching every Meesho order to its settlement is the only way to know what you were paid, what is still due and what went missing. Here is how to do it — by hand or with Prism Seller.

In short: download the Orders report and every Payment File that covers those orders from the Meesho supplier panel, match rows on Sub Order No, and add up each order's rows to get what it really settled at. The settlement parts in each row add up to its Final Settlement Amount, so any amount you cannot name is a question for Meesho. Delivered orders with no payout, RTOs with money on them, returns with no deduction and unusually low settlements are the cases to act on.

Why Meesho payments are hard to match

Three things make a Meesho settlement hard to check from the panel alone:

  • The money arrives later than the order. An order placed in one month is often paid in the next month's payment file, so one month's Orders report never lines up with one month's payment file.
  • One order can have several rows. A forward payout, a return deduction, a claim paid on a damaged parcel, a recovery — each is its own row, sometimes months apart. An order's real settlement is the sum of all of them.
  • Files overlap. Payment files for overlapping date ranges repeat the same rows. Added up naively, an order is counted twice; but removing “duplicates” by order number throws away real second rows.

The reports you need

All of these come from the Meesho supplier panel. Meesho moves its menus from time to time; the names below are the ones its files use today.

ReportFormatWhat it adds
OrdersCSVEvery sub order with its live status, product, SKU, size, quantity, listed price and customer state.
Payment File (previous payments)XLSXOne row per payout or deduction, with the settlement split into its parts. File names look like …_PAYMENT_FILE_PREVIOUS_PAYMENT_<dates>.xlsx. The workbook also carries account-level sheets (ads cost, compensation and recovery, referral).
Returns — In Transit, OFD Reverse, CompletedCSVReturns and RTOs on their way back, out for delivery to you, and delivered back — with courier, AWB, reason and dates.
Supplier ticket statusCSVYour support tickets and their outcome, by order.

For one month's orders, you need that month's Orders report and the payment files for that month and the months after it, until every order has its payout.

What the payment-file columns mean

Each row of a payment file splits the settlement into parts. Charges are written as negative amounts, and in the files we have checked, the parts add up to the Final Settlement Amount to the paisa.

ColumnWhat it means
Sub Order NoThe key. One customer order can have several sub orders; every row, in every report, is matched on this.
Payment Date · Transaction IDWhen the money moved and the bank transfer it belongs to.
Final Settlement AmountWhat you actually received (or lost) on this row — the number to reconcile.
Total Sale AmountWhat the order sold for. Positive on a forward payout.
Total Sale Return AmountThe sale taken back when a customer return is processed. Negative.
Meesho Commission (Incl. GST)Meesho's commission on the sale, GST included.
Fixed Fee (Incl. GST)A fixed fee per order, where it applies.
Warehousing feeA warehousing charge, where it applies to the order.
Shipping Charge (Incl. GST)Forward shipping charged to you.
Return Shipping ChargeShipping for a parcel coming back to you.
Return Premium (incl GST)A returns-related charge on its own line, where it applies.
Meesho Gold / Mall Platform FeePlatform fee for orders under those programmes.
Net Other Support Service ChargesOther service charges, net.
GST CompensationA GST-related adjustment shown on its own line.
TCS · TDSTaxes the marketplace collects or deducts on your sales and passes to the government. They can usually be claimed as credit — keep them for your accountant.
Compensation · Claims · RecoveryMoney paid to you for a claim (a lost or damaged parcel, say) or recovered from you, each with a reason column.
Order Source · Price Type · Listing PriceWhether the order came from an ad, how it was priced, and the listing price — useful for ads and shipping checks.

Definitions of each term are in the Meesho settlement glossary. Rates of commission, fees, TCS and TDS change over time — read them from your own files, not from a guide.

Reconciling by hand, step by step

  1. Download the Orders report for the month you are checking, and every Payment File from that month up to today.
  2. Put all payment rows in one sheet. Where files overlap, remove a row only when it is the same payout — same Sub Order No, Transaction ID, Payment Date and amounts — never just because the Sub Order No repeats.
  3. Add up the rows of each Sub Order No. That total is what the order really settled at, after returns, claims and recoveries.
  4. Join the totals to the Orders report on Sub Order No, so each order has its status, product and settlement side by side.
  5. Check each order against its status. A delivered order should settle at its sale amount less the itemised charges; an RTO should net to about ₹0; a customer return should carry a deduction; a cancelled order should have nothing.
  6. Name every difference. If a row's parts do not explain its Final Settlement Amount, or an order is missing a row it should have, write it down with the Sub Order No — that is your ticket.
  7. Do it again next month. Late payouts and deductions arrive in later files, so an order that looked wrong can come right — and the other way round.

This works, but on a few hundred orders a month it takes hours, and it has to be repeated every time a new payment file arrives.

Ten mismatches worth a look

These are the checks Prism Seller runs on every order. They are just as useful as a checklist for a spreadsheet.

MismatchWhat it meansWhat to do
Delivered but not paidThe order says Delivered, it is 45+ days old, and no payout appears in any payment file you have.First make sure you have every later payment file — a payout often lands in the next month's file. Still missing: raise a ticket with the Sub Order No.
Delivered, settled at ₹0 or lessA kept order you received nothing for.Look for a recovery row or a missing payout row; ask Meesho what was deducted.
RTO with money movedAn RTO should net to ₹0 — the customer never received it — yet a payout or charge sits on it.Check the rows on that sub order; a charge on an RTO is worth questioning.
Return without deductionThe payment file calls it a return, but nothing was deducted yet.Usually timing — the deduction comes later. Keep it in view, not in a ticket yet.
Unusually low settlementA delivered order settled at under half its sale amount.Open the itemised parts: which one is unusually large?
More than one forward payoutThe order was paid twice going forward.Usually a replacement shipment. If not, expect Meesho to recover it — do not count it as profit.
Returned to you, no deduction yetThe return reached you 30+ days ago, but the payment file still shows it Delivered with no return deduction.Expect the deduction later; plan your cash with it in mind.
Claim rejectedA support ticket on this order was rejected.Read the reason in the ticket report; reopen it with better proof if you have it.
Paid, but not in an Orders fileMoney arrived for an order you have no Orders row for.Upload that month's Orders file so the order has its product, date and state.
Shipping cost far above usualNet of what the customer paid, shipping on this order cost much more than this product usually does.Often a weight discrepancy. Compare the product's declared weight and raise it with Meesho if it is wrong.

The 45-day and 30-day limits are Prism Seller's own, chosen to leave room for a slow month; an order is only called late when the payment files you have reach past its due date.

Money that is not on any order

Some amounts in the payment workbook belong to the account, not to a sub order, and can never be split across orders:

  • Ads cost — Meesho ads spend, charged by campaign and period and taken off your settlement.
  • Compensation and recovery — account-level money paid to you or taken back, each with a reason.
  • Referral — referral payments, where they apply.

Count them once, at account level, when you work out a month's real income.

Doing it with Prism Seller

Prism Seller does every step above for you. Upload the reports (zips are fine) or let the Chrome extension collect them from your own Meesho panel. Each order is matched to every payment row across every file, with overlapping rows counted once; the Deductions view shows every settlement part by payment month; and the ten checks above run on every order, each with a ready-to-send claim text. See all features or pricing.

Written by the Prism Seller team, who build and test this reconciliation on real Meesho payment files. Prism Seller is independent and not affiliated with Meesho; column names are as Meesho's files show them today and may change.
